Jason uploaded income-summary.pdf. Review the new file and prepare your questions before the 2:00 PM call.Add a client manually, invite them by email or import a CSV. Map the columns to the right fields before the import runs.
Try the five example rows below. A matching email reuses a client account; an invalid email is skipped. Matching is based on email, not a similar name.
| Client name | Email address | Office note |
|---|---|---|
| Jason Parker | jason@example.com | Existing client |
| Sam Rivera | sam@example.com | New client |
| Sam Rivera | sam@example.com | Repeated email |
| Taylor Brooks | taylor@example.com | New client |
| Jamie Lee | jamie-at-example.com | Invalid email |
Use a valid email for each client. Check shared household emails and duplicates before importing; different email addresses can create separate client accounts.
Match the CSV headings to client fields and supported custom fields. Check the mapping carefully before running a larger import.
Check the processed and failed row counts. Correct invalid email rows and review matched records rather than assuming the import merged every duplicate.

A client assignment identifies the staff member responsible for the relationship. It is separate from an appointment’s staff member, a task’s assignee and access inside other tools.
The business owner can review the office’s client records and assign clients individually or in bulk. Keep the existing record instead of creating a new client for the next employee.
Employees see clients linked to their account. Shared work uses the appropriate team tools; assigning a client is not a switch that gives every employee the same notes, appointments or file access.
Filter or select the departing employee’s clients and reassign them before changing that employee’s access. Review open tasks, appointments and important notes so the next person knows what remains.
Reassignment preserves the client record; it does not automatically transfer every employee-specific item. Owners can review office notes, while an employee’s note view is scoped to their account.
Keep client questions, internal handoffs and mobile updates close to the work. Spend less time chasing email threads and making routine phone calls.
Discuss missing documents and next steps with the client through customer chat, the portal and the Customer App.
Ashley: Please upload the income summary before our call.
Coordinate with colleagues in team chat and share the files or next action they need, separately from the client conversation.
Ashley: Jason’s income summary is ready. Maria, can you review it?

The business owner can review the office’s client records. Employee client lists are linked to their account. A client assignment identifies who is responsible; it does not make every employee’s notes, appointments, invoices or document access identical. Use team tools for shared work and check each employee’s access.
Reassign the existing client rather than creating another account. Client information and linked documents stay with that record. Owners retain the office view of notes, while employee note views are scoped to their account. Review open task owners and appointment staff separately during the handoff.
Export your list as CSV, upload it in Clients, map its columns to the supported client and custom fields, then run the import. Check processed and failed row counts afterward. A valid email is required for each imported client; Free-plan contact limits apply.
The import matches client accounts by email. An existing email is reused, including repeated email rows in the same import; invalid emails are skipped. Similar names with different emails are not automatically merged. Mapped office fields can update an existing record, so check your mapping and review shared household emails before importing.
Reassign their clients individually or in bulk before changing the employee’s access. Record the next action, review outstanding tasks and appointments, and check important employee-specific notes or history. Then update the departing employee’s account status. Client reassignment does not perform every part of this handoff automatically.
Save an internal note with a follow-up date so the next action stays attached to the client. The owner can review office notes; employees see notes scoped to their account. A new note can clear a due follow-up, so set the next follow-up date when more work remains.
TAAX Ai can bring recent client activity and next steps into a client brief. Use it to prepare questions, review documents that need attention and identify follow-up work. Check the record and review suggested actions before using them.
